Setup times: Friday Feb 27 1:00 -7:00 pm
Saturday Feb 28 7:30 -8:30 pm (all vehicles must be out by 8:45)
People love your Raffle Items! Please remember to bring your raffle items up to the raffle tables during Friday or Saturday Setup times.
If it snows, we will need to stop all vehicles outside to get the snow and ice off, especially from around wheel wells, to avoid mud puddles in the event space.
Exhibitors:
Please see the FAQs for exhibitors for more information on booths, deadlines, and costs. Note that some things did not automate well in our system; administrators will revise invoices as needed. We will be sending final instructions by Feb 24, 2026.
Registration is currently closed
For those who have unpaid invoices, $15 administrative late fee will be added when paying at the event. We will take cash, credit card or check at the event upon entrance.
Door prize raffles:
We encourage all exhibitors to donate to the door prize raffles. Every person entering gets a door prize tickets and additional tickets can be purchased at the door or at the raffles desk on the day of the event. Attendees love taking home their prizes and you can provide those memories. For items worth more than $100, please check in with us. For smaller items with <$5, we reserve the right to bundle. If you are interested in sponsoring a Grand Prize Raffle item at a future Symposium, please send a message to eventmanager@quietadventures.org.
Badges:
In a change from previous years, we will give each exhibitor "Exhibitor" badges with your Organization's name on them. You fill out with names for booth staffers. These badges will be in your Exhibitor packet at Check-in. There will be as many badges as indicated in the records. Let us know immediately if there is a question. You will need to get the badges to your staffers. If staffers do not get their badges beforehand, they will need to use the front entrance and call you to bring the badge to them.
Refunds and Late Fees:
Full refunds will be issued for cancellations completed by January 15, 2026. Cancellations completed between January 16, 2026 - February 15, 2026 will receive 50% refund. Cancellations after February 15, 2026 will not be eligible for refunds. To cancel and request a refund, send an email message to Exhibitor@QuietAdventures.org .
As of Feb.15, 2026, there is a $15 late payment fee for invoices that are unpaid, as was noted in our Brochure. Payments at the event will include this fee.
We will be verifying that all discounts with sponsorship on booths and attendance get reflected in your booth registrations, as that part was challenging to automate.
Graphics:
All graphics must have been submitted by Feb 2. If after the event you have photos to share, please send them to media@quietadventures.org .
Lodging:
We have arranged a block of rooms at the local Candlewoood Suites: $99 for an efficiency and $129 for a one bedroom, plus taxes, etc.

You are responsible for payment. After January 26, reservations should include payment to avoid late administrative fee.
